Position Summary
The Office Manager serves as the operational backbone of RightCapital's Shelton office, ensuring a smooth, well-organized, and welcoming work environment. The ideal candidate brings a warm, approachable energy to the workplace while maintaining the highest level of professionalism and discretion. This role spans facilities management, employee onboarding and offboarding support, IT coordination, event planning, marketing support, vendor relations, and office-related project management. This is a fully onsite role because creating a warm, welcoming environment starts with being present every day to greet the team, anticipate needs, and keep things running seamlessly.
Key Responsibilities
Facilities & Office Management
- Serve as the primary point of contact for all office facility needs, including maintenance requests, building repairs, and coordination with the Scinto building management team.
- Oversee and support all administrative duties in the office, ensuring the workplace environment, including the kitchenette and break room, is properly maintained, clean, organized, and stocked.
- Manage office supplies inventory, including IT equipment, and place orders as necessary to fulfill employee requests.
- Oversee office cleanliness standards and coordinate with cleaning vendors as needed.
- Implement and oversee office policies and procedures, including physical security related to badge entry system; suggest updates and improvements for better efficiency and workflow.
- Manage contracts and price negotiations with office vendors, food-service providers, cleaning services, and the lease manager.
Employee Onboarding & Offboarding
- Prepare workstations and provision hardware and security tools for new hires
- Conduct Day 1 onboarding orientation alongside HR, including documentation, system access, and in-office benefits overview.
- Maintain the badge access system to ensure it accurately reflects active employees, including coordinating additions and removals with building security.
IT & Systems Support
- Serve as the primary IT liaison for the Shelton office — coordinating equipment, system access, and permissions, and acting as the first-line contact for hardware and software troubleshooting.
- Manage and coordinate new IT rollouts, ensuring smooth implementation across the office.
- Triage software escalation issues through dedicated Slack channels in support of the Operations team.
Marketing Support
- Manage the full lifecycle of conference materials — packing and shipping outbound, unpacking and inspecting returns, documenting any discrepancies, and organizing materials for future use.
- Coordinate shipping logistics for conference materials as needed.
- Maintain an accurate, up-to-date swag inventory by reconciling stock after each event and tracking all additions in the shared Notion tracker.
Events & Employee Experience
- Coordinate weekly team meals for 100+ staff, including vendor management, headcount tracking, and accommodating dietary restrictions.
- Plan and execute company events, such as quarterly socials, the annual holiday party, off-site activities, and conferences, while managing all logistics from planning through day-of execution.
- Lead the Shelton Social Committee, incorporating employee suggestions to foster a positive workplace culture and running an annual Employee Survey to gather feedback
Communication & Administrative Support
- Handle confidential information with integrity and discretion; ensure data privacy policies are upheld.
- Facilitate internal communications, including company-wide meeting invitations, event notifications, and information distribution.
- Own and drive office-related projects from planning through execution, including defining timelines, tracking progress, and communicating status to stakeholders.
- Serve as a liaison between employees and building management, HR, and IT.
- Support department heads and company executives with scheduling, correspondence, and administrative tasks as needed.

Qualifications
- 2+ years of experience in office management, operations, or administrative support.
- Excellent communication and interpersonal abilities with a service-oriented mindset.
- Knowledge of office administrator responsibilities, systems, and procedures.
- Proficiency with Apple hardware, esp Macbooks and MacPros, and common business software tools (Outlook, Slack, Zoom, etc.) as well as MS Office (Excel in particular).
- Experience with project management software like Notion.
- Experience with office management software like ERP and administrative systems.
- Strong organizational, planning, and time-management skills with the ability to manage multiple projects independently, including setting timelines, coordinating across teams, and delivering results.
- Experience serving as an IT point of contact or liaison; comfort with basic technology troubleshooting and vendor coordination.
- Experience with employee onboarding processes and HR coordination.
- Track record of successfully planning and executing events or large-scale office functions.
- Familiarity with the operation and coordination of large-scale meal services, including dietary accommodation.
- Familiarity with badge access systems (Honeywell/HID), vendor coordination, and facilities management is a plus.
- Attention to detail and problem-solving skills.
- A high school degree; further education or certifications in office management or administrative support are a plus.
Schedule
5 days in the office; Monday 8:30 AM – 5:00 PM and Tuesday – Friday 9:00 AM – 5:00 PM.
1 evening per quarter for event support.

Overall target compensation: From $65,000 per year, plus an annual bonus
